The tight-knit Office of the CEO (OCEO) plays a crucial role in supporting senior leadership and executive teams at Clio by providing administrative assistance, operational support, and fostering collaboration across the organization. The OCEO Team works in a collective, autonomous environment; exercising judgment and discretion, and actively contributes to decision-making and execution processes.

    • Your knack for organizing will shine as you manage executive calendars, ensuring meetings, appointments, and travel plans are seamlessly coordinated.

    • Proactively navigate potential scheduling hiccups, keeping the executive day running like a well-oiled machine.

    • You'll be the friendly face and voice connecting our executives with both internal and external folks.

    • Juggle incoming emails, phone calls, and messages with finesse, ensuring our executives stay in the loop.

  • Admin Extraordinaire:

    • Dive into document editing, presentation perfection, and report refinement to help our executives shine.

    • Take the lead in organizing unforgettable meetings, onsites, and special events, infusing a personalized flair while contributing to strategic agendas.

What you'll work on:

  • Manage executive calendars, meetings, appointments, and travel plans.

  • Handle incoming communication (emails, calls, messages) for executives.

  • Assist with document editing, presentations, and report refinement.

  • Organize meetings, events, and onsite visits with a personalized touch.

  • Manage expenses and maintain organized records.

  • Coordinate all aspects of executive travel, including itineraries.

  • Handle sensitive information and maintain secure files and records.

  • Proactively solve everyday challenges and offer solutions.

  • Support the OCEO team and collaborate with other departments.

  • Foster a supportive and collaborative workplace environment.

What you bring:

  • Your awesomeness and a Bachelor's degree or equivalent work experience.

  • A proven track record as a superhero Executive Assistant or in a similar role.

  • Your A-game in organization, time-management, and communication skills.

  • Ability to dazzle with your written and verbal communication skills, paying attention to the little details.

  • Savvy with Mac operating systems; Google Workspace, Slack and Zoom, just to name a few.

  • Ability to juggle tasks like a pro, working independently and managing multiple things at once.

  • Ability to ensure  confidentiality as the trusted guardian of sensitive information.

Bonus points if you have:

  • Event planning expertise

  • Experience with Asana and Concur

  • The perfect gif or emoji for every Slack message

  • The expected salary range* for similar roles within Clio is:  $68,000 - 120,700 CAD

Please note that the expected new hire salary range provided is derived from a group of like roles within Clio. Our salary bands are designed to reflect the range of skills and experience needed for the position and to allow room for growth at Clio. For experienced individuals, we typically hire at or around the midpoint of the band. The top portion of the salary band is reserved for employees who demonstrate sustained high performance and impact at Clio. Those who are new to the role may join below the midpoint and develop their skills over time. The final offer amount for this role will be dependent on geographical region, applicable experience, and skillset of the candidate.
