Responsibilities
- Assists in managing and prioritizing the
Chief's schedule, including scheduling appointments and arranging
meetings, booking boardrooms, preparing presentation material, minute
taking and composing routine correspondence.
- Assists in reviewing correspondence and
reports; composing routine correspondence as necessary.
- Assists in liaising with external
agencies and internal departments, and handling requests for information
directed to the Chief.
- Assists in preparing presentations,
reports, and briefing materials on behalf of Executive Administration.
- Coordinates the preparation and provision
of appropriate briefing materials for events requiring the Chief's
attendance.
- Assists in financial management tasks for
Executive Administration area by processing financial documents related to
current and/or capital budgets, express purchase orders, purchase
requisitions, cheque requests, and expense claims; reconciles monthly p-card
charges against VISA statements; prepares budget submission on behalf of
the area and monitors budget to identify and report deviations from
planned funding levels. Processes and reconciles petty cash fund.
- Assists in arranging and coordinating
executive travel, including transportation, accommodations, and expense
reconciliation for the Executive Administration area.
- Performs reception duties, including
answering phones, greeting visitors, and redirecting inquiries as
necessary.
- Assists in maintaining an up-to-date
filing system and ensuring appropriate office supplies are maintained.
- Receives completed Notice of Transfer
form from Senior Management and enters the transfer details directly into
HRMS for processing by Human Resources. Generates reports from HRMS to
view processed and pending transfers. Monitors and transfers Performance
Appraisals to appropriate supervisors as requested.
- Performs additional duties as assigned.
Qualifications
- A Community College diploma in Office
Administration or equivalent, or an equivalent combination of education
and experience.
- A minimum of five years office experience
in an administrative support function
- Demonstrated intermediate knowledge of MS
Office (Word, Excel and PowerPoint)
- Demonstrated knowledge of the
organizational structure, directives, goals, strategic plans and
operational direction
- Strong attention to detail
- Effective oral communication and
interpersonal skills
- Demonstrated co-ordination and
organizational skills
- Demonstrated multi-tasking ability
- Demonstrated problem solving skills
- Ability to work independently with
limited supervision
- Ability to work effectively in a highly confidential and sensitive environment
