Administration and Coordination
- Book personal tours and update sales activity into the
CRM database.
- Coordinate and occasionally conduct tours for
prospects, providing them with a comprehensive view of our offerings and
amenities.
- Coordinate lease signings for prospects and their
families and address any concerns.
- Collaborate with the management team to ensure smooth
transitions and accurate records for new residents.
- Support the RLCs in the preparation of relevant
management reports and maintenance of pertinent records.
- Manage telephone inquiries for multi-home leads and
convert to personal tour bookings, when possible.
- Maintains confidentiality of information relating to
residents, family members, prospective residents, other staff members and
Chartwell Retirement Residences.
- Participate in other related assignments as required.
Sales Support
- Assist the RLCs in acquiring and supporting prospects
interested in booking tours, ensuring their needs are met and questions
answered.
- May assist prospects in finding the right location
within our facilities that aligns with their personal and financial requirements.
- Collaborate with RLCs to deliver on all sales
initiatives and targets which may include business development.
- Assist RLCs with Chartwell’s consultative sales process
to help seniors and adult children make informed decisions when choosing a
retirement residence.
- Support the delivery of the business development plans
and the property sales budget expenditures.
- Support RLCs in the analysis of reports to identify
sales trends specific to the local community and residence.
- Provide support to other team members in the RLC’s
absence.
- Keep abreast with updates regarding sales trends, new prospects, marketing events, and other related information.
Education
- Grade 12 Diploma or equivalent.
- Post secondary education in a related field is considered
an asset.
Experience
- Experience in data entry, customer service and working
with seniors.
Skills & Abilities
- Strong organization skills and attention to detail.
- Empathetic and caring interpersonal customer service
skills.
- Effective communication skills (written and verbal).
- Ability to multi-task and results oriented in a
pro-active busy environment.
- Knowledge of the community and surrounding areas.
- Computer literate with knowledge of related software
programs (CRM).
Working Conditions
& Effort
- Work is generally performed in an office environment
with occasional walking and standing during tours or meeting community
partners and for monitoring residence activities. Flexible hours
(evenings, weekends) may sometimes be required to meet with Prospects.
- Work requires mental effort associated with typing on a
computer screen and organizing information, and interaction with staff and
the public.
- Work is performed wearing personal protective equipment
(or clothing) as required by task, MSDS, or residence policy.
- Some travel may be required.
