Your responsibilities
as an Office Administrative Assistant at Fix Network;
- Opening and closing of the office
- Opening and distribution of the mail to the person (s)
concerned
- Taking messages
- Receive and distribute faxes
- Order supplies and food (hygienic supplies, office
supplies, ink and meals, meetings and / or training)
- Management of the calendar of the conference rooms
- Preparation of conference rooms before and after events
/ meetings / conferences (preparation of desks and screens, preparation of
snacks or dinners in case of group meetings, among others)
- Make sure the kitchen is clean (empty the dishwasher,
cleaning the tables, etc.)
- Be in charge of the recycling bin (make sure to put it
on the road and bring it back)
- Order coffee, milk, cream and other components when
needed
- Ensure all operations for the addition or withdrawal of
a franchisee in the national network including the credit check
- Make equipment repair calls as needed
- Provide administrative support to franchisees and
office employees
- Collect and compile franchisees' sales figures for the
previous month.
- Make sure to keep the inventory up to date (promo items
in stock of the Boutique - 2x per year)
- Update the employees' telephone directory of all
regional business centers
- Update the 1-800-infofix tug file and share it with the
call center
- Regularly update the internal telephone system (time,
names / extension numbers, Auto Dial, etc.)
- Manage keys and access codes upon arrival or departure
of employees
- Coordinate the management of the building with regard
to housekeeping, repairs, snow removal and other subcontractors
- Act as a point of contact for the Director of Supplier
Relations
- Take care of the office decoration at birthdays or
parties
- Other related tasks as assigned
What we are looking
for :
- High School Diploma required.
- 3 years' experience in an Administrative role
preferred.
- Knowledge of office procedures and practices.
- Proficient with Microsoft Office Suite (Outlook, Word,
Excel, Power Point).
- Proven organizational and time management skills.
- Interacts with employees, various management levels,
able to build and maintain lasting relationships with corporate
departments, key business partners, and customers.
- Ability to effectively communicate both verbally and in
writing.
- Ability to coordinate and organize meetings, exhibits, and other events.
